Neumann Stiftung (HRNS) is a German-based global nonprofit organization, registered in Ethiopia with the Authority for Civil Society Organizations, and has been operating in Ethiopia since 2015. The organization’s objectives include improving livelihoods in rural environments, supporting youth, and protecting nature and the environment.
1. Administrative Assistant (Intern)
Location: HRNS Office, Addis Ababa, Ethiopia
Duties and Responsibilities:
HR Support:
- Assist with day-to-day operations of the HR functions and duties
- Compile and update employee records (hard and soft copies)
- Ensure that employees receive and sign contractual documents
- Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations, etc.)
- Coordinate communication with candidates and schedule interviews
- Maintain proper records of employee attendance and leaves
- Maintain the integrity and confidentiality of human resource files and records
- Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
- Issue ID cards for all employees
Administrative Support:
- Update contact lists of clients and staff
- Maintain client correspondence files
- Procure office supplies, ensuring timely delivery and effective use
- Manage administrative tasks, including filing, typing, copying, binding, and scanning
- Assist in all the scanning and printing that are required
Travel and Logistics:
- Make travel arrangements, booking flights, car, and hotel reservations
- Arrange accommodation for staff and visitors
- Liaise with the Logistics department on the arrangement of transportation
Office Management:
- Welcome and assist visitors to the office, providing information and support as needed
- Organize staff and client meetings and reserve conference rooms
- Supervise and support guards, cleaning services, and office messengers
- Ensure the office is fully stocked with appropriate stationery and other supplies
Documentation:
- File administrative documents according to procedures
- Maintain records of incoming and outgoing letters to and from HRNS
- Update the leave follow-up table for Ethiopia staff
- Ensure the original signed contract document is filed as a hard and soft copy
Duty Station: HRNS ET Office, Addis Ababa, Ethiopia
Reporting: The Administrative Assistant position will report to the HR & Admin Manager.
Skill and Educational Background:
- BA degree in Human Resource Management, Management, Accounting, Business Administration, or related fields
- 0-2 years of relevant work experience for first degree
Skills Required:
- Basic computer knowledge (Word, Excel, and Outlook)
- Basic English in both spoken and written
- Good communication and interpersonal skills
- Ability to work under pressure
