1.Position: FAWE – Communication Associate

Job Summary

The job holder will support the development, coordination, and execution of the communication strategy. Manages an organization’s communications, Carryout all media works including the development and implementation of plans and communication, Prepare advocacy packages for advocacy work and best use of media

Main Duties include the following but are not limited to:

  • Undertake day-to-day communication activity of the organization and communicate through the organizational website, Facebook and other media pages
  • Form a communication and public-relations Technical Working Group (TWG) from members, and establish a communication and media unit
  • Functions as communication instrument to communicate the works of the organization
  • Facilitate the networking, partnership building and fundraising efforts
  • Creating and maintaining a robust relationship with the media to promote the organization’s image
  • Produces periodic newsletters, and other printed and audiovisual materials like case studies and success stories and produces reviews for mass media consumption
  • Actively participates in field visits, prepares field visit reports, and documents stories,
  • Manages an organization’s internal and external communications.
  • Monitoring and responding to feedback from the media and the public about the organization on traditional and digital channels
  • Recording media coverage and measuring the impact of publicity campaigns on audience engagement
  • Developing and disseminating public relations materials that increase visibility among stakeholders and lawmakers
  • Develop/ review/ communication and public relations strategy/guideline

Job description

ROLE PROFILE

The Administrative Associate will support effective day-to-day administrative functioning issues offering. This position will need an individual who is extremely organized and proficient at communicating both verbally and in writing. The position will entail writing and drafting of reports and documents.

KEY RESULT AREAS

  • Support the Human Resource and Administration Office function with drafting of documents and policies and report writing.
  • The Administrative Associate will support the Human Resource Function in maintaining data and being the HRIS system manager in the ERP system.

Key Activities/Roles

  • Responsible for drafting and writing various administrative reports and policies as may be assigned from time to time.
  • Support procurement of inventory including documenting all equipment assigned to staff members.
  • Supporting and maintaining filing systems in the HRIS, and developing administrative process improvements in the ERP System
  • Support Coordinating contracts with vendors and suppliers, including managing invoicing, and payment processes.
  • Support administration tasks within the Administration section including recording minutes, arranging schedules of events, proof-read documents, etc.
  • Booking air tickets for the teams and another travel itinerary as per instructions from the Supervisor.
  • Coordinate reservations, catering for meetings, and other internal meeting venues.
  • Manage the requisition of office utilities, like kitchen provisions, water, power, rentals, garbage, etc.

Competencies Required

  • A university degree in Secretarial, Business Administration, Human Resources, or any other relevant field
  • Computer literacy
  • Accuracy and attention to detail
  • Must have well-developed written and verbal communication skills. Organisational Structure (Working Relations)

Apply3.Position: Database Associate

Job description

The Database Associate is responsible for developing, maintaining, and upgrading the central and project-specific databases, data gathering, data encoding, conducting data analysis, and supporting the design of various database tools and strategies. The database officer is also responsible for IT-related tasks in the organization such as computer maintenance, system updates, and managing the information communication system.

Duties and Responsibilities:

  • Maintain the CP project-specific databases;
  • Ensure all data is entered and updated in the databases and other systems available
  • Support the Monitoring and Evaluation Officer, the program coordinator, and the project officer in ensuring that data is collected, entered, and stored in a timely and accurate manner according to the reporting and monitoring requirements
  • Check the quality of the data submitted by field staff
  • Check, mentor & monitor the quality of the data submitted by all the field staff
  • Liaise with field staff regarding missing data, eventual mistakes, data discrepancies, and/or inconsistencies;
  • Perform “clean data” when needed;
  • Ensure proper filing of hard and soft copies of survey questionnaires, lists of beneficiaries, or other data collection tools or documents
  • Maintain and further develop the structure or format of the databases as required
  • Implement proper backup, restore, data validation, and security procedures to ensure data integrity and availability
  • Computer maintenance

Data Analysis:

  • Support the improvements of the data collection tools
  • Verify the accuracy of the data collected during assessments
  • Clean data collected during assessments and any issues to the relevant departments
  • Extract queries, figures, and reports from the database
  • Generate data visualization such as charts, graphs, and tables to be included in communication tools, reports, assessments, and any other documents as per needs
  • In collaboration with the M and E Officer, provide data analysis of projects’ activities and assessment data

Others:

  • Provide regular and timely updates on progress and challenges to supervisors and other team members
  • Capacity building: Provide database-related and IT skills-related workshops and participate in meetings as required
  • Perform any other related activities as assigned by the immediate supervisor.

Qualifications & Skills Required:

  • A Bachelor’s degree in computer sciences, MIS, or other related field, graduate degree preferred. ∙ Possesses Advanced Excel skills (e.g. pivot tables, functions, etc.).
  • Demonstrated information management skills.
  • Demonstrated basic skills in Microsoft Excel, and use of online platforms for data Collection ∙ Strong organizational, data collection, and IT skills.
  • Functional oral and written English communication skills required (working ability); ∙ Excellent relationship management skills (both professional and personal relationships) ∙ Proven ability to multi-task calmly and professionally.
