ESX is Ethiopia’s first, and only organized securities exchange. ESX is being established as a public private partnership in line with Article 31 of the Capital Market Proclamation (No.1248/2021).

ESX operates the business of a securities exchange, functions as a Self-Regulatory Organization (“SRO”) and serves as the central market organizer providing an integrated product suite covering the equities, fixed income, and money market segments of the capital markets.

As the pioneer securities exchange, ESX aims to play a critical role in the development and growth of the Ethiopian capital markets. ESX’s core objective is to facilitate access to capital and support effective capital allocation in a manner that supports Ethiopia’s economic growth. Executive Secretary

Job Summary:

The role holder plays a pivotal role in supporting the executive management team by providing administrative and secretarial assistance. This position demands a high level of organizational skills, discretion, and efficiency in managing office functions and communications. The Executive Secretary serves as a crucial link between executives, clients, and internal staff, ensuring seamless operations and effective communication within the organization. The Executive Secretary is an integral part of the executive team, contributing to the smooth functioning of the organization and supporting the overall success of the company.

 Key Responsibilities:

 Administrative Support:

  • Act as the primary point of contact for the CEO and other executives, managing and prioritizing communications, emails, and calls.
  • Manage the executive’s calendar, appointments, and meetings, ensuring optimal time management.
  • Prepare and organize materials for meetings, presentations, and conferences.
  • Handle incoming emails, calls, and correspondence, prioritizing and responding as needed.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Documentation and keeping archive of meeting minutes.
  • Coordinate and organize events, conferences, and corporate functions as directed by the CEO.
  • Oversee office supplies, equipment, and maintenance, ensuring a well-functioning workplace.
  • Coordinate with other administrative staff to streamline office processes and procedures.
  • Manage and prioritize multiple tasks, proactively identifying and addressing potential issues.
  • Assist in planning and executing special projects, events, or initiatives.
  • Coordinate with different departments to ensure project timelines and objectives are met.
  • Communication and Documentation:
  • Draft and edit correspondence, reports, and other documents on behalf of the CEO and other executives.
  • Maintain and organize physical and electronic files, ensuring easy retrieval of information.
  • Prepare and distribute meeting agendas, minutes, and follow-up action items.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Manage confidentiality of executive discussions, decisions, and company strategies with integrity, ensuring compliance with regulatory requirements.
  • Act as a point of contact between the executive and internal/external stakeholders.           
  • Screen and direct phone calls, inquiries, and requests to the appropriate parties.
  • Facilitate communication within the executive team and various departments.

Work Relationship 

  • Internal: Line Manager, CEO, Management team and different departments
  • External: Stakeholders

Job Requirements

Qualifications:

Bachelor’s degree in business administration, secretarial studies, or a related field.

  • Minimum of five years proven experience as an executive secretary, Administrative assistant, Personal Assistant or in a similar administrative role.

Skills:

  • Excellent organizational, time-management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficient in office software such as Microsoft Office Suite.
  • Ability to maintain composure and professionalism in high-pressure situations.
  • Discretion and ability to handle confidential information with integrity.
  • Attention to detail and accuracy.
  • Proactive and able to anticipate needs.
  • Adaptability and flexibility.
  • Excellent interpersonal skills.
  • Ability to work independently and collaboratively.
