Duration of employment: Five (5) years (initially from March 9, 2025 to March 8, 2030)

Job summary
The Administrative Assistant serves as primary administrative support to the Office Manager and independently coordinates office operations. This role includes managing communications, maintaining the office calendar, coordinating with internal and external partners, and handling mail and document management.
Responsibilities:
- Customer service: Act as the primary point of contact for office inquiries and coordination with mission staff, contractors, host country government officials, and other stakeholders.
- Communication & Scheduling: Manage calls, emails, scheduling and visitor arrangements and provide administrative support for meetings.
- Documentation and archiving: Monitor office correspondence, maintain records, and ensure proper document tracking and formatting.
- Office management: Use Microsoft Office and web-based applications for correspondence, time tracking, travel requests and reports.
Supervisory relationships: Reports directly to the office manager or designee.
Physical requirements: This role requires minimal physical requirements.
Minimum Qualifications
- Education: Two years of post-secondary education in secretarial studies, business administration, or a related field.
- Experience: At least three years in administrative or secretarial work, of which at least two years in a related environment, e.g. B. a U.S. government agency, an NGO, or other donor or host government institution.
- Language skills: Knowledge of English and Amharic. Applicants can provide proof of their English language skills (CEFR C1/C2, IELTS 6.5+ or TOEFL IBT 95+).
- Technical skills: Knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Knowledge and skills: Familiarity with office procedures, U.S. Government records management, and correspondence standards.
Evaluation and selection
Candidates will be evaluated on:
- Application check (30 points): Relevant experience and skills.
- Technical Skills (30 points): Skills test that assesses attention to detail, logic and clarity.
- Interview performance (40 points): Evaluating technical knowledge, teamwork, task prioritization, and understanding of diversity, equity, inclusion, and accessibility.
Reference checks are passed/failed.
